Here are some suggestions for
filling out a room request form:
1. Select one contact person. It will make it easier and more
effective if you have only one person who is coordinating the
logistics of the event. This means only one person should talk
to Room Assignments, Facilities, Audiovisual, etc. It will also
be easier if you select someone who is on (or near) campus nine
to five, Monday through Friday.
2. Put it in writing. The room assigning process works much
faster if we get your request in writing before we get your
phone call. Telephone calls to check on room availability take
up a lot of time. Remember also that room requests take at approximately

3. Come and talk to us. If you are planning a large event, make
an appointment to see someone in Room Assignments to review
your space needs with you after you have submitted your request.
4. Please make sure to request space for the entire amount of
time you will need the room, not just the duration of the event.
This means planning for any set up and break down, as well as
anticipating your guests lingering in conversation. This way,
no one gets rushed out of a room, and no one is kept waiting.
