Creating and managing pre-assigned breakout rooms

Zoom Breakout Rooms


Zoom Breakout Rooms allow you to put your meeting participants into sub-meetings for group discussions, activities, and projects. There are three different ways you can assign participants to Breakout Rooms: 

  1. After the meeting begins, Zoom can randomly assign participants to the number of breakout rooms the host specifies.
  2. After the meeting begins, the host can manually assign each participant to a specific breakout room.
  3. Before the meeting begins, the host can pre-assign each participant to a predetermined breakout room.

Pre-Assigned Breakout Rooms


Pre-assigned breakout rooms are an advanced feature of Zoom and require a very specific process to work effectively.

  • You should pre-assign students to their breakout rooms using their TC email address ending in UNI@tc.columbia.edu.
  • To ensure that students are entered into their pre-assigned rooms students will need to authenticate before entering into a meeting by signing into their TC Zoom account. 
  • If you have participants with (guest) after their name, you will have to ask them to leave and login to Zoom and return to the meeting.  Guests will not be placed in their preassigned breakout rooms automatically.

Adjust Zoom User Account Settings

These settings allow you to pre-assign breakout rooms using emails, force attendees to login to Zoom so they can be recognized for room assignment, and allow hosts to see who has not logged in.

Schedule a Meeting with Pre-Assigned Breakout Rooms

You will pre-assign breakout rooms when you create your Zoom meeting. To pre-assign users to breakout rooms you will need their TC email addresses.

Running a Pre-Assigned Zoom Breakout Room

Run and re-create your pre-assigned breakout rooms during your Zoom meeting. If you have participants with (guest) after their name, ask them to leave and login to Zoom and return to the meeting.  Guests will not be placed in their preassigned breakout rooms automatically.
