Steps to Submit the Visiting Scholar Application

Below is a step-by-step process for the TC Departmental User to consider once a TC faculty has agreed to serve as faculty host to a prospective visiting scholar. Please refer below in order to submit a Visiting Scholar Application via TC-Compass:

 

We recommend having one or two designated staff member to be the point person of contact for the academic program/department. You can request access to TC-Compass as the Departmental User here.

Once granted access as the Departmental User, this staff agrees to serve as the point person of contact for all continuing and prospective visiting scholars for the program/department. The Departmental User will be able to initiate the visiting scholar application.

Once granted access to TC-Compass as the Departmental User, you will be able to initiate and submit a request in TC-Compass for as many scholars your department wishes to host per academic year.

 Gather all supporting documents, including signed recommendation letter issued by faculty host, to accompany the Visiting Scholar Application (Applicant Information Form & Program Information). 

  • If the prospective visiting scholar requires J-1 visa sponsorship from Teachers College, additional documents will be needed for submission:
    • Financial documents
    • Documents verifying English language proficiency
    • Dependent passport identification page (if accompanied by dependents) 

Note: When ready to initiate the VS Application, as Departmental User, you can route the eforms to the applicant so they can directly enter and upload the required information in the TC-Compass system. 

 

If the prospective visiting scholar is new to Teachers College, you will need to complete the Add New Person step in TC-Compass. 

You will need the temporary ID information generated during this step to access the Visiting Scholar Application 

If the prospective visiting scholar is a returning visiting scholar or alumni of Teachers College, you do not need to "Add New Person," instead you will be able to locate this individual's record by entering their TCID and date of birth

You will need the prospective visiting scholar's date of birth and temporary ID to start the Visiting Scholar Application 

Applicants can directly enter information and documentation to the TC-Compass system after you add their record and route the eforms to their preferred email address

Please note the faculty host will be prompted via email to complete "Step 2: Program Information" as part of the Visiting Scholar Application. They will be asked to upload their recommendation letter. 

If the Visiting Scholar needs J-1 visa sponsorship, you will need to initiate the TC Visiting Scholar - J-1 Form DS-2019 Request eForm

    • The faculty host will be notified via email to complete the "J-1 English Language Proficiency Requirement" if the prospective scholar needs J-1 visa sponsorship

You and the prospective scholar will be able to track the progress of the application via TC-Compass. 

Once the necessary eforms have been submitted to the TC Compass system, the OISS will review the application within 14 business days. 

After the Visiting Scholar has been issued an official invitation to Teachers College as a Visiting Scholar

As the host academic department, please ensure the visiting scholar completes the Check-In process with the OISS as well as any other process with the academic department upon arrival or by the start date indicated on the Teachers College Invitation Letter issued by the OISS

  • Visiting scholars on J-1 visa sponsorship has additional J-1 requirements. Please ensure the visiting scholar checks-in with the OISS before the start of the program indicated on the invitation letter
  • Report any changes or updates regarding the visiting scholar to the OISS  within 10 days of the change or before the program start date, whichever is sooner

Visiting scholars needing an extension of their VS program or J-1 status must:

  • submit a request to the OISS at least 15 days prior to the end date indicated on their VS invitation letter and/or Form DS-2019
